OUR FUTURE SCIENTISTS

1. About Us

Our Future Scientists Programme provides structured, educational science sessions for children aged 6–11 during UK school holidays. Sessions include supervised practical activities, experiments, learning materials, light meals, snacks and hydration.

By completing a booking, you agree to the following Terms & Conditions.

2. Booking & Payment

2.1 A place is only secured once full payment has been received.

2.2 Payment must be made by the stated deadline.

2.3 If payment is not received by the deadline, the place may be offered to another child.

2.4 We reserve the right to refuse admission if payment has not been completed.

3. Cancellations & Refunds

Due to the limited space available for our programmes, we require full payment to secure your booking. Whether parents/guardians choose to pay in full or via a deposit, any refunds issued will be the cost of the programme, minus the deposit. If multiple bookings are made and subsequently cancelled, the deposit is payable per child named on the booking form. Deposits are non-refundable as this covers our administration cost, staffing, venue, materials, food and any other additions to the programme.

3.1 Cancellations made more than 14 days before the programme start date will receive a refund minus the deposit.

3.2 Cancellations made within 14 days of the programme start date are non-refundable unless the space can be filled from a waiting list.

3.3 No refund is provided for:

Non-attendance
Late arrival
Early collection

3.4 If your child is ill within 3 days of your programme start date, an alternative programme date will be offered if available. Where an alternative date can not be offered, a refund will can be issued, minus the deposit.

3.5 In the unlikely event that we cancel your programme, a full refund will be issued.

4. Medical & Dietary Information

4.1 Parents/guardians must provide accurate and complete medical and allergy information at the time of booking.

4.2 We must be informed of:

Medical conditions
Allergies
Medication requirements
Special dietary needs

4.3 While reasonable precautions are taken, we cannot guarantee a completely allergen-free environment.

4.4 We reserve the right to refuse attendance if medical information has not been disclosed and may compromise safety.

5. First Aid & Emergency Treatment

5.1 A qualified first aider will be present during sessions.

5.2 In the event of illness or injury:

Parents/guardians will be contacted immediately.
Emergency services may be contacted where necessary.

5.3 By booking, you consent to emergency medical treatment being administered if required.

5.4 Parents/guardians must complete and submit the essential information form before your programme start date.

6. Behaviour Policy

6.1 Our programme promotes curiosity, respect, kindness and safe participation.

6.2 We reserve the right to contact parents and request early collection if a child:

Poses a risk to themselves or others
Displays persistent disruptive behaviour
Fails to follow safety instructions

6.3 No refund will be provided if a child is sent home due to behaviour.

7. Practical Activities & Risk Acknowledgement

7.1 The programme includes supervised, age-appropriate science experiments and practical activities.

7.2 All activities are risk-assessed and delivered under adult supervision.

7.3 By booking, parents acknowledge that:

Practical activities carry minimal inherent risk.
Children are expected to follow safety instructions at all times.

8. Food & Hydration

8.1 Light meals, snacks and hydration are included within the programme fee.

8.2 Parents/guardians must inform us of all dietary requirements and allergies by completing the dietary requirements form before your programme start date.

8.3 We reserve the right to request that a child bring their own food if dietary needs cannot be safely accommodated.

9. Collection & Safeguarding

9.1 Children may only be collected by authorised adults named on the collection, safeguarding and media form, which should be completed before your programme start date.

9.2 Photo ID may be requested.

9.3 Late collection: Your child must be collected at the closing time to avoid disruption to the venue schedule. A late collection fee of £15 will apply if a parent/guardian is more than 15 minutes late.

Safeguarding and Child Welfare

The safety and wellbeing of all children attending Our Future Scientist is our highest priority.

Our Future Scientist is committed to safeguarding and promoting the welfare of children and young people. All staff and volunteers are expected to share this commitment and adhere to our Safeguarding and Child Protection Policy.

Parents and carers should inform us of any information relevant to their child's safety, wellbeing, medical needs or additional support requirements before attendance.

Any safeguarding concerns will be managed in accordance with our Safeguarding and Child Protection Policy and, where necessary, may be referred to the appropriate authorities.

10. Photography & Media

10.1 Photographs may be taken for:

Marketing purposes
Website and social media
Printed materials

10.2 Photographs will only be used where explicit consent has been given.

10.3 No child will be identified by full name without additional written permission.

11. Data Protection (UK GDPR)

11.1 Personal data is collected solely for the administration and safe delivery of the programme.

11.2 Data is stored securely and not shared with third parties except where legally required.

11.3 Parents may request access to or deletion of their data at any time.

12. Illness Policy

12.1 Children must not attend if they are:

Experiencing a contagious illness
Vomiting or having had diarrhoea within 48 hours
Displaying symptoms that could put others at risk

12.2 If your child is ill and cannot attend the selected programme, an alternative programme will be offered.

13. Liability

13.1 We hold appropriate public liability insurance.

13.2 Liability is limited to the extent permitted under UK law.

13.3 We are not responsible for:

Loss or damage to personal belongings
Items brought from home

14. Changes to Programme

14.1 We reserve the right to:

Modify activities where necessary
Change the venue within a reasonable distance if required
Adjust timings due to unforeseen circumstances

15. Complaints Procedure

We are committed to providing a safe, enjoyable and high-quality experience for all children and families. If you have a concern or complaint, we encourage you to raise it with us as soon as possible so that we can work towards a resolution.

Parents are encouraged to raise any concerns as soon as possible by speaking to or contacting the programme lead. Concerns or complaints will be logged and addressed promptly.

If parent/guardian are dissatisfied with the resolution, please send your complaint in writing to ourfuturescientistprogramme@gmail.com. We will acknowledge receipt within 2 working days and aim to respond in writing within 10 working days. A copy of our full Complaints Policy is available on request

16. Agreement

By completing a booking and making payment, you confirm that:

You have read and understood these Terms & Conditions.
You agree to comply with all policies outlined above.
The information provided is accurate and complete.
